Frequently Asked Questions

Answers to common questions about FMLA Pro’s software, pricing, and security.

Getting Started

What is FMLA Pro?

FMLA Pro is on-premise leave administration software that helps employers track, manage, and stay compliant with FMLA and related leave laws — without storing sensitive employee data in the cloud. It runs on Microsoft Office, so there’s no new system to learn.

No. FMLA Pro is built on Microsoft Office, so if your organization already uses Office, you likely have everything you need. There’s no separate app to install or new platform to learn.

Installation is quick and typically takes less than 5 minutes. Once you start the program, initial setup usually takes between 10–20 minutes, depending on how many locations and employees you’re entering. Setup time will vary by client based on the size and complexity of your organization.

Security and Data

Where is my company's data stored?

Entirely on your own servers. FMLA Pro installs directly on your organization’s existing infrastructure, behind your own firewall — your data never touches a third-party cloud.

No. Because the software runs entirely on your own servers, FMLA Pro has no access to, visibility into, or copy of your employee data at any point. Your data leaves your systems only if you choose to export it yourself.

If you decide not to renew your license, the program will lock and you’ll no longer be able to use its functions. However, you can export your data from the program at any time — including after non-renewal. Your data belongs to you, and FMLA Pro will never restrict your ability to retrieve it.

Plans & Pricing

What's the difference between Basic, Pro, and Enterprise?

Basic covers the essentials — company setup, employee data entry, leave tracking, and reporting. Pro adds compliance tools like the Leave Determination Tool, state leave options, and letter generation. Enterprise includes everything in Pro, plus bulk employee data upload and custom letter templates — built for organizations that don’t want to worry about outgrowing their plan. See our full plan comparison for details.

Yes — upgrades take effect immediately, so you can move to a higher tier as soon as your needs grow.

Once billed, your license is valid for one year. You can choose not to renew at the end of that term. Because FMLA Pro has no access to the software once it’s installed on your network, we’re not able to terminate a license mid-term — your access simply runs through the full year you’ve paid for.

No — all FMLA Pro plans are billed annually. This keeps costs simple and predictable, with no recurring monthly charges to manage.

Using the Software

Does FMLA Pro track state leave laws too, or just federal FMLA?

Both. FMLA Pro includes state leave law options (available on Pro and Enterprise plans) in addition to federal FMLA tracking, so you’re not stuck managing state-specific requirements separately.

Yes — on the Enterprise plan. Pro includes letter generation using provided templates, while Enterprise adds the ability to generate letters using your own custom templates.

FMLA Pro does not limit the number of employees who can access the software, and we don’t bill on a per-employee-per-month basis. We do recommend limiting access to HR professionals only, since the program contains sensitive leave information.
